The SME Finance Clarity Toolkit

A practical guide to help UK small business owners stay in control of their numbers, tax and cashflow.

Running a business means juggling a lot of moving parts. Customers. Staff. Suppliers. Growth. For many SME owners, the finances are the part that feels the least clear.

This toolkit has been designed to help you understand the key numbers, stay on top of tax responsibilities and make better financial decisions.

No jargon. Just straightforward guidance.

If you’re a small business owner, freelancer, or contractor, you probably feel out of control simply because you don’t know the right numbers to track. At Honest Accounting, we don’t believe it has to feel that way.

So, here are the 5 key numbers you need to be very familiar with when it comes to your business:

1. Revenue (Sales)

The total value of what your business sells.

Why it matters: It shows whether the business is growing.

2. Profit

What’s left after expenses.

Why it matters: Revenue can grow while profit shrinks.

3. Cash in the Bank

Your current liquidity.

Why it matters: Profit doesn’t always equal available cash.

4. Upcoming Tax Liability

The tax you’re likely to owe.

Why it matters: Avoid surprise tax bills.

5. Monthly Fixed Costs

The cost of keeping the business running.

Why it matters: Helps you understand how much revenue you need just to break even.

The SME Tax Calendar (Simple Version)

Many business owners worry about missing deadlines. So here are some of the key dates SMEs should be aware of:

  • Self Assessment deadline: 31 January
  • Corporation Tax payment: 9 months after company year end
  • VAT returns: Usually quarterly
  • PAYE submissions: Monthly if you have employees
  • Making Tax Digital changes (MTD)
Important changes affecting income tax reporting are coming. Making Tax Digital for Income Tax is HMRC’s move towards a fully digital tax system. You can learn more about that here:

Tip: Setting reminders for tax dates removes unnecessary stress. Do it now.

The Cashflow Health Check

Cashflow is one of the biggest pressures SMEs face. Here is a simple health checklist:

  • Do you know how much cash your business has available today?
  • Do you know how much tax you’ll owe this year?
  • Could your business cover three months of operating costs?
  • Do you regularly forecast future cashflow?

If the answer to several of these is no, it may be time to improve financial visibility.

We can help you with this.

Common Expense Categories SMEs Forget to Claim

Many small businesses accidentally overpay tax because they miss legitimate expenses.

Examples include:

  • Home office costs
  • Software subscriptions
  • Professional development
  • Business mileage
  • Equipment and tools
  • Phone and internet used for work

Tip: Good record keeping makes this easier.

Preparing for Making Tax Digital (MTD)

Making Tax Digital is part of HMRC’s plan to modernise the tax system. Businesses affected will need to keep digital records and submit updates more frequently.

MTD isn’t a future concept or an ‘opt in’. It’s happening. Soon.

The shift towards quarterly reporting means systems and habits need to change. Waiting until the deadline approaches could leave many business owners scrambling.

By using FreeAgent as part of our standard package, we’re making sure our clients are:

  • Fully compliant
  • Properly prepared
  • Digitally organised
  • Confident about what’s coming

And crucially, not paying extra for essential software.

Preparation Steps:

  • Use compatible accounting software
  • Keep digital records of income and expenses
  • Speak to your accountant about what changes will affect you
  • Businesses that prepare early will find the transition much easier.

If you’d like to talk about how MTD affects you and how we can help you get ahead of it, get in touch with the Honest Accounting team. Together we can make digital tax simple, and stress-free.

  • You only look at finances at year end
  • You don’t know your tax bill until it arrives
